Create A Graduation Ceremony Template

Graduation ceremonies mark the end of one chapter and the beginning of another.


When planning a graduation ceremony, you will need to coordinate a variety of elements, such as the procession of the graduates, speakers, awards, presentations, music and seating. By creating a template you create a game plan for the event and help ensure that an element does not get overlooked in the planning. A template is similar to an outline, as it will chronologically list all elements of the graduation and cover all the small details of each portion of the ceremony. Does this Spark an idea?


Instructions


1. Open a new Microsoft Word document.


2. Title the document with the name of the event, such as Springfield High School Graduation Ceremony and place the date, time and location of the event below the title.


3. List all time brackets on the left side of the page. Either create columns with the times on the left and a column for the time slot details on the right, or simply start each line with a time then indent three times to begin the time slot details.


4. Allow ample time, at least 15 minutes depending on the number of graduates, for the students to file in and take their seats. This will open the ceremony. Make note of any musical accompaniment on the template, listed below the time frames.


5. Schedule the welcome, all speakers, award presentations and the presentation of diplomas. List the times for each, allowing adequate time between each segment. Check with the speakers beforehand to verify how long they expect to speak to help you schedule the event accurately.


6. Leave extra spaces between each scheduled event during the graduation ceremony. This way once the template is printed you will be able to pencil in notes during the ceremony dress rehearsal.


7. Print the template.
